About the Role

As HR Specialist you will support the smooth running of Orien Trade Group’s core HR activities, including recruitment coordination, onboarding, employee documentation, HR system updates, internal communication and day-to-day employee support.

The position plays an important role in keeping HR operations organised, accurate and consistent by maintaining reliable records, preparing documentation, following up on process steps and supporting the development of structured HR practices as the company grows internationally.

Key Responsibilities

  • Maintain accurate employee data, HR records, documentation and shared HR files
  • Prepare, update and organise employment documents, job descriptions, templates and other HR materials
  • Support document signing, filing, version control and confidential handling of employee information
  • Administer the HR system, including employee profiles, documents, permissions, attributes and workflows
  • Assist employees and managers with basic HR system and administrative questions
  • Support recruitment administration, including job postings, candidate records, interview scheduling and candidate communication
  • Coordinate onboarding preparations, including documentation, system setup, equipment requests and onboarding schedules
  • Support employee lifecycle processes, including role changes, transfers, document updates and offboarding
  • Prepare HR communications, process instructions, guides, checklists and internal materials
  • Support HR reporting, data quality checks, process improvements and other HR projects and initiatives

Qualifications

  • Previous experience in HR administration, recruitment coordination, office administration, employee support or a similar role
  • Education in Human Resources, Business Administration, Communications or a related field
  • Experience working with HR systems, like Personio, applicant tracking systems or employee databases is beneficial
  • Good understanding of confidentiality, employee documentation and administrative accuracy
  • Proficiency in Microsoft Office and other digital collaboration tools
  • Fluency in English and Estonian is required; additional languages are beneficial
